1. Booking Confirmation

Upon confirmation of your booking, your contract is with M/s Chalo Yatra. A binding contract exists once we confirm your travel services and receive the deposit payment from your end.

2. Payment Policy

Deposit: A minimum deposit of 25% of the total tour cost must be paid at the time of booking. This ensures your booking is held on a confirmed basis.

Balance Payment: The remaining balance must be paid 15 days prior to the start date of the services.

Special Note: For certain services such as special train journeys or hotel/resort bookings during peak seasons, full payment is required at the time of booking.

3. Mode of Payment

Payments can be made through any of the following methods:

• Cheque / Demand Draft
• Bank Transfer
• QR Code

Important Notes:

• All payments must be free from withholding taxes or deductions.
• Any bank charges (including those levied by intermediary banks) must be borne by the payer.
• For payments made through QR code using credit/debit cards, any applicable bank charges are also payable by the payer.

4. Safety & Security Notice

Please note that Chalo Yatra employees or agents will never ask for your:

• Net banking login details
• Passwords or OTPs
• To transfer money into personal accounts
• To install third-party apps such as AnyDesk, TeamViewer, etc.

5. Cancellation, No Show & Early Departure Policy

In case of cancellation due to any avoidable or unavoidable reason, please inform us in writing. Cancellation charges will be effective from the date we receive your written notice.

Additional Terms:

• Regardless of the above slabs, a minimum 10% service charge will apply on the total tour cost for any cancellation by the client after booking confirmation.
• If the cancellation is initiated by Chalo Yatra, two options will be provided:
  1. Credit Note: The full booking amount will be converted into a credit note, usable by you or your nominee for any future travel.
  2. Refund: A 10% service charge will be deducted, and the remaining amount will be refunded.
• Cancellations made after trip commencement will be refunded only to the extent recoverable from suppliers.
• No refund will be given for unused services such as hotels, flights, meals, or transportation.
• Separate cancellation policies apply for special train journeys.
• No refund will be provided for bookings cancelled during festival periods or high peak seasons (e.g., Christmas, New Year, etc.).

6. Refund Policy

Refunds for cancelled or unutilized services will be processed as per the cancellation policy above. Refunds will be made only to the person who made the original payment.

Important Notes:

• The refund process may take 2 to 4 weeks due to banking and administrative procedures.
• For refunds made to a credit card or bank account, bank processing fees will be deducted from the refunded amount.

7. Mandatory Identification Documents

It is mandatory for all guests — including Indian Nationals, NRIs, and Foreign Nationals — to provide valid photo identification at the time of booking confirmation. The following documents are required for verification as per traveler category:

• Foreign Nationals: Copy of Passport and Valid Visa (mandatory).
• Non-Resident Indian (NRI) Clients: Copy of Passport (mandatory).
• Overseas Indian Clients (OCI/PIO Cardholders): Copy of Passport and OCI/PIO Card (mandatory).
• Domestic Clients (Indian Nationals): Copy of Driving License, Voter ID Card, or Passport (mandatory).

Failure to provide valid ID proof may result in cancellation of booking as per applicable terms.

8. Arrival and Departure Policy

• Check-In Time: Between 12:00 PM – 3:00 PM
• Check-Out Time: Between 10:00 AM – 12:00 PM
• Early Check-In: Subject to room availability. For guaranteed early check-in, the room must be reserved from the previous night.
• Late Check-Out: May be available upon request and is subject to room availability and additional charges.

9. Extra Usage of Vehicle

Please note that the cost of vehicle usage (car/coach with driver) is limited strictly to the agreed transfers and sightseeing as per the itinerary. Any extra usage of the vehicle beyond the itinerary will incur additional charges payable directly by the guest.

10. Special Note for Helicopter Journeys

• Helicopter tickets and fares are subject to availability and may change at any time without prior notice.
• Chalo Yatra takes utmost care to facilitate your helicopter journey; however, due to weather conditions, VIP movement, or other unavoidable situations, services may be delayed or cancelled at the last moment.
• In the event of cancellation, Chalo Yatra will make every possible effort to arrange an alternate helicopter journey on the same or next available day, subject to operator availability.
• Helicopter tickets are non-transferable and non-refundable — no tickets can be carried forward to the next day.
• No compensation, reimbursement, or claim will be entertained for accommodation, meals, or transportation costs arising due to cancellation or delay of helicopter services.

11. Liabilities and Limitations

• Once tour/service costs are finalized, if there are revisions in government taxes, fuel costs, monument/museum entrance fees, or guide charges, the same shall be charged as an additional amount to the guest.
• Chalo Yatra rates are based on prevailing tariffs negotiated with hotels, transport operators. These suppliers retain the right to modify prices without prior notice. In case of such changes, Chalo Yatra reserves the right to revise the quoted rate accordingly.
• Chalo Yatra acts only as a facilitator between guests and third-party service providers (e.g., hotels, transporters). The company shall not be held liable for delays, accidents, losses, or natural calamities beyond its control.
